Volunteer Committee Meeting Minutes January 3, 2012 call to order at 6:15pm Mike: welcome everyone! rollcall of members present members: Mike Bagby, Ian DeBarry, Patti Marsters, Dana Gilmore, Bill Hamilton, Dianne Dill-Peterson, Steven Brown, Frank Starr, Lorraine Thomas staff: JoEllen Schilke, Randy Wind guests: Dan Price, Shannon Rogers, Robert Fitzpatrick, Petra Sussman, Joshua Sussman, Bill Brehm, Jeannie Holton reading of minutes fm last meeting (copies were distributed and time was allotted to read and questions asked/answered) election/selection of VC rep to BoD Mike: we’re going to select someone tonight (30 or under) to represent the VC on the BoD Bill: just to recap, there were 2 people who was elected to represent, but the BoD would only accept one, because one was mandated to be filled by a person who is 30 or under Mike: Ian has been chosen...Ian, do you accept? Ian: yes reading of the change to by-laws Mike: that brings about a change to our by-laws that I will read now: (reads) and I will send this to the committee members for review, and we will vote on it’s passage at the next VC meeting Mike: also, if you’ve come to 3 meetings, you may become a member of this committee...Lorraine Thomas and Steven Brown are now members of this committee new pgmrs’ agreement - rough draft-appoint committee for review Mike: we have the Programmers’ Agreement for perusal Randy: has been a work in progress for 30 yrs...section, rights and responsibilities was original document...has been added to over the years...newest is Social Media Policy (reads it aloud)... Dana: questions the controversy statement Randy: yes, i’ll change that Dana: and the VC has talked about responsibilities and consequences Randy: it’s in there, page 6, section B Dana: could we be more specific about the consequences? Randy: let’s just see if this agreement works because there hasn’t been this kind of obligation in writing in the past...I’ll be working with the Volunteer Coordinator...in the past we haven’t known which programmers come in for marathon hours and which don’t Dana: would like to see more specificity, like you have for the non-completion of logs JoEllen: some things are FCC related...also, we haven’t made them do this before and now it is an obligation Bill: in the 80s, we experimented with ways of being punitive...it seems like this [how it’s written now] might work...the new language states that if a programmer doesn’t fulfill their commitments, it could result in them losing their program Dana: how often is the programmer review? Randy: every 2 yrs Steve: is there a way to incorporate a point system to take in all of the aspects? Randy: that’s too big an undertaking Mike: this is mostly to hold the ones that aren’t doing what they should accountable Randy: under the disciplinary policy, it states that each case is dealt with on an individual basis Dana: should we notify programmers? Randy: we could send it to them in email form Mike: will send to the Programmer list mini-thon and new methods to attract volunteers and to have them feel appreciated and needed JoEllen: the mini-thon is scheduled Jan 27, 6a to 30th, 6p or so, with goal of $120,000...in thinking of ways to encourage donations...have new stickers (88.5 b&w)...free concert tickets for referrals...and we are always looking to include more new people to help raise money...need about 200 volunteers a day...Mike and I have talked about helping programmers use social media more...also have Outreach training this month...New Volunteer training (need people to help with this)...Book and Record Sale-we need people before and during...that’s all on shiftboard...there are lots of teams...I am trying to get people added to teams...if you’ve had a problem and don’t know how to fix it, let me know and I’ll try to fix it...a new team is ‘photography’...I’m also looking at a grant that we qualify for with our thousands of volunteer hours per year Dana: where does the volunteer hours that we sign in for go? JoEllen: that gets input into the computer manually, and in the future, I hope to have that information gathered electronically Mike: our focus is to get people involved in the station, encourage people to use shiftboard, if you have concepts, speak up Steve: what if we devoted some time during the week for volunteers to talk about what they are interested in? Mike: that might be accomplished in the recording studio? Steve: no, I think it’s an incentive that could be offered Patti: what’s the goal? Dan: there are 2 reasons people volunteer...to give service and to get an idea out there Ian: you come in and volunteer enough, you’ll get on the air if you want to Randy: I don’t think it would be good radio Jeanne: it’s great that so many people are here and the VC is really important, but it doesn’t do anything with programming, that’s Randy’s job...the VC is a watchdog group, to pay attention to what’s going on, at the Board level, at the Staff level...and it’s really important to keep the young people coming and nurture the relationship, but let’s not reinvent the wheel...everybody on the Committee needs to have a copy of the by-laws Dana: I can just say that this idea won’t fly, but if you want to get on-air, get in touch with your favorite show’s host and tell them you would like to help...form a relationship with a programmer announcements there will be an Outreach Training Wed, Jan 18th fm 6 to 7 and then a New Volunteer orientation from 7:15 to 8:15 next meeting will be monday, Feb 6, 6:15p other announcements?
